The Entities & Clients page is where Xenora stores the people and organisations you collect documents from. Add a client or entity once, and every future case for them is a couple of clicks — no re-typing names, contact details, or registration numbers.

Two record types

Xenora keeps two distinct record types so your team uses the right one without thinking about it.

Client

An individual person. Stored with first name, last name, email, mobile, and optional notes.Use for cases with a specific human — employee onboarding, individual ITR filer, loan applicant.

Entity

An organisation. Stored with registered name, entity type (Pvt Ltd, LLP, Partnership, Proprietorship, Trust, HUF), PAN, GSTIN, CIN, address, and associated directors or partners.Use for cases with a company — statutory audit, GST filing, company incorporation.

Why this matters

No duplicate work

Add a client or entity once. Every case for them pre-fills the contact and identifier fields automatically.

Audit-ready records

Each entity carries its PAN, GSTIN, CIN, and director/partner list in one place. Audit pulls are a search away.

Multi-case view

Open a client or entity to see every case ever run for them — status, deadline, assignee, all at a glance.

Adding a client

1

Open Entities & Clients

Click Entities & Clients in the side menu, then switch to the Clients tab.
2

Click Add Client

A short form opens — name, email, mobile, notes.
3

Save

The client is added to your list and immediately available when creating a new case.

Adding an entity

1

Open Entities & Clients

Click Entities & Clients in the side menu, then click New Entity.
2

Pick the entity type

Choose Pvt Ltd, LLP, Partnership, Proprietorship, Trust, HUF, or another type. The form adapts — for example, CIN appears only for entity types that have one.
3

Fill in identifiers and contact

Add the registered name, PAN, GSTIN/CIN if applicable, registered address, date of incorporation, and contact email/mobile.
4

Add associates

Add directors, partners, or trustees as associates. Each associate links to a Client record — so the same person can be a director of one entity and a partner of another, without duplicate data.
5

Save

The entity is added to your list and ready to be linked to cases.

Using entities and clients in cases

When you create a case, pick an existing entity or client from the relevant dropdown on the case form. The case inherits the contact details and identifiers automatically. If the entity or client doesn’t exist yet, you can also add a new one right from the case form — it’s saved to your list at the same time.
Changes to a client or entity record affect future cases. Past cases keep the data they had at the time the case was created — so a historical audit trail isn’t disturbed by today’s edits.
The page has separate searches for each tab:
  • Clients tab — search by name, email, or mobile.
  • Entities tab — search by name, PAN, or GSTIN.

Edit and delete

Open any record to update it. Records that aren’t tied to any case can be deleted; records with cases attached can’t — close or cancel the related cases first.
Edit and delete are available to Editor and Admin roles. Read users can view records but can’t make changes.
