Xenora has a small vocabulary that, once you know it, makes everything click. Here’s the map.

Domain

A practice area your firm works in — Tax, Audit, HR, Legal, Loans, etc. Turning a domain on activates the flows built for it.

Flow

A pre-built template that defines the document checklist for a specific use case (e.g. “Statutory Audit”, “Employee Onboarding”). You run a flow by creating a case from it.

Custom Workflow

A flow you build yourself for a requirement that isn’t in the built-in set. Once saved, it’s a reusable template your whole team can use.

Case

One instance of a flow, for one customer. A case is the unit of work — created, tracked, reviewed, closed.

Party

A participant in a case. Most cases have one party (the client). Multi-party cases — common in legal and loans — have several (e.g. borrower + co-applicant + guarantor), each with their own document checklist.

Entity / Client

The person or organisation a case is attached to. Clients are individuals; Entities are organisations (Pvt Ltd, LLP, Partnership, etc.). Stored once, reused across cases.

Document

A single file the client is expected to upload (PAN, GST certificate, bank statement). Each document moves through its own lifecycle: Awaiting Upload → Uploaded → Approved / Rejected.

Assignee

The team member responsible for moving a case forward. Cases can be reassigned at any time without affecting access — every team member can still view and act on a case.

Timeline

The chronological audit trail of everything that happened on a case — created, document uploaded, validated, approved, reassigned, completed.

How they fit together

A typical engagement, in plain English:
1

You activate a domain

For example, Tax. This makes the tax-related flows available on the Flows page.
2

You pick a flow

For example, ITR Filing. The flow defines the document checklist — PAN, Form 16, bank statements, etc.
3

You create a case from that flow

You pick the client (or entity), set the deadline, and send the request. The case is now live.
4

The client uploads documents

Each document moves through its own lifecycle. The timeline captures every event.
5

You complete the case

All documents approved, case marked complete. The full case file is downloadable as a bundle.
